VAULTMAN
For coin and bullion dealers

The back office for a coin and bullion shop — however you sell.

At the counter, on a live show, on eBay, in your own store. Intake, tags and scanning · buying at spot · packing by box with a photo and a seal · listings that follow your stock · wholesale drop-ship from inside the app · books your accountant can post — one record for every piece, from the safe to the shipping bench. Built by a dealer who runs his own shop on it every day.

A week in the shop

Six jobs. One app, from the safe to the shipping bench.

Every piece carries a tag, a cost and a melt value from the moment it comes in — so the show, the packing bench, the listings and the books all read the same record.

Stock in

Photos first, the title builds itself in the order a buyer reads it, the tag prints. A spreadsheet of what you own loads in minutes; slab certs look themselves up.

Intake and tags

The show

Scan on the block, sold tags print as they sell, the goal bar and pace on the screen, the overlay on the stream. Orders arrive seconds after the hammer and match themselves.

Live shows

Packing

By box: a photo, a seal, the label — and a shipper who never sees what anything cost. The pull list for the next show writes itself.

Packing day

Selling everywhere

eBay listings that follow your stock, with a description a buyer reads to the end; your own store; offers; the counter's buy ticket, layaway and consignment.

Channels

Buying

Collections priced at spot by your rules, a written offer in minutes, the vendor invoice that reads itself — and a 4,000-product drop-ship catalog through Vaultman with nothing to stock.

Offers and wholesale

The money

Cost basis per piece, melt live against spot, sales tax by jurisdiction, Form 8300 and 1099-B watched for you, a month-end your accountant can post.

Why dealers switch

What breaks today, and what runs instead.

From spreadsheets and a tag printer

The sold tag prints, and that is where the record ends: no cost basis, no idea what is in the safe, packing from memory, profit guessed at the end of the month.

Vaultman prints the same tags from the same printer — and keeps the piece, its cost, the buyer and the box behind every one of them.

From a generic inventory app

No melt, no spot, no slabs, no live show. A silver eagle is a widget with a price typed in once.

Here a piece knows its metal, purity and weight; its worth moves with spot; a slab cert looks itself up; and the show screen is built for sixty items an hour.

From a bigger point of sale

Built for a jeweller or a pawn shop, priced for one, and still nothing for Whatnot, eBay or a drop-ship catalog.

Vaultman starts at $49 a month, runs on the phone at the safe and the iPad at the counter, and sells on every channel you do.

Keep your tag tool through your first show on Vaultman. After that night you cancel one of them, and it won't be ours. See the side-by-side →

Built by a dealer

The app runs the shop first and is sold second.

Vaultman LLC is a working coin and bullion dealer in Dallas, Texas — live on Whatnot most nights at sixty-plus items an hour, on eBay, on its own store and across the counter. Every screen in this app was built because the shop needed it that week, and every one of them is in use today.

Your business gets its own private database — nobody's money shares a table with anybody else's. Nightly backups, an off-site copy, roles for every person, and one button that exports everything if you ever leave.

Questions

The ones every dealer asks on the call.

Does it work with my Whatnot account?

Yes. Settings › Whatnot connection takes a token from Whatnot's seller tools; orders arrive within seconds of the hammer, and shipping labels pull in by themselves. eBay Live and TikTok Shop connect the same way; Palmstreet imports the export after the show.

My stock is in a spreadsheet.

Inventory › Load stock takes any CSV or Excel file, works out the metal, purity and weight from the names, looks up slab certs, and prints the tags. On Pro and Dealer we do it with you on the setup call.

What printer do I need?

Any thermal printer QZ Tray talks to — Zebra, Dymo, Rollo, Arkscan, Jadens. The first setup prints a DRY RUN tag to prove it.

Who can see what?

Roles per person: owner, manager, shipper, viewer, accountant. A shipper packs boxes and never sees cost or profit.

Whose data is it?

Yours, on your own private database — nobody's money shares a table with anybody else's. Nightly backups and an off-site copy; Export everything is one button; cancel and take it with you.

I'm on WinTagz or Hot-Label today — how do I switch?

Keep it through your first show on Vaultman. The sold tags print from the same printer, the same size, with your logo; the packing slips carry your thank-you line and your handles. After that night you cancel one of them, and it won't be ours. Your buyers come across with the first Whatnot sync; your stock comes in from a spreadsheet; show goals, buyer callouts and the pace are on the live screen from the first show.
